Protecting an Excel Document
Introduction
Protecting an Excel document is important for maintaining data integrity, preventing unauthorized changes, and securing sensitive information. Microsoft Excel offers various protection levels, from restricting editing on individual cells to encrypting the entire workbook with a password.
Types of Protection in Excel
Worksheet Protection: Prevents changes to the structure or contents of a worksheet.
Workbook Protection: Restricts modifications to the workbook structure (e.g., adding, deleting, or renaming sheets).
File-Level Protection: Encrypts the file and requires a password to open it.
1. Password-Protecting an Entire File IDEAL
Click File > Info
Click Protect Workbook > Encrypt with Password
Enter and confirm your password
Save the file
Once you reopen the same Excel file, you will be prompted for a password

2. Restricting Editing with File Permissions IDEAL ADDITION
Click File > Info > Protect Workbook
Choose Restrict Access

Go to Review tab > Protect Workbook
Choose whether to protect the structure or windows
Enter and confirm a password if desired
4. Protecting a Worksheet
Select the worksheet you want to protect.
Go to Review tab > Protect Sheet
Enter a password (optional) and choose the actions users are allowed to perform (e.g., select cells, format cells).
Click OK and confirm the password if set.
5. Marking a Workbook as Final
This informs others the file is complete and discourages editing.
Go to File > Info
Click Protect Workbook > Mark as Final
Save the file
6. Removing Protection
Worksheet: Go to Review > Unprotect Sheet and enter the password if required
Workbook: Go to Review > Unprotect Workbook
File Encryption: Go to File > Info > Protect Workbook > Encrypt with Password, then delete the password

Use strong, memorable passwords
Store passwords securely—Excel cannot recover lost passwords
Limit the distribution of protected files
Regularly update security settings
